Pickup, transportation and intake at our facilities
We pick up your medical records and prepare them for delivery to our facilities. Our staff comes to your site, registers all documents to SRP, puts them into specially designed collection boxes, assigns each box a unique bar code, and stacks them on sealed euro pallets. Once the patient file is registered, your staff can use the SRP to determine the actual physical condition of each cell and the processing step of each medical file. Sealed Euro lets, which contain your medical records scanning, are then delivered in a sealed vehicle to an unlimited copy service facility. All shipments are dedicated, which means no items other than your patient files are taken away at any time to guarantee complete confidentiality and security. Once your registered patient files are accessed to Unlimited Copy Services and the integrity of all seals is verified, we scan the bar code on each box and assign each box a unique location in our warehouse. This information is automatically stored in our SRP system.
Preparation and Scanning
We prepare to scan your medical files with strict instructions. File folders, staples and paper clips are removed, if necessary, file/document separation pages and/or toggle pages are inserted into the scanner to give special instructions, etc. All your patient files are scanned according to the scanner configuration described earlier. Sequencing and Classification
The SRP platform automatically categorizes and identifies the incoming document sequence. It identifies all types of content and takes advantage of 4 classification techniques: image-based, text-based, separation page-based and theory-based. It identifies, arranges and separates multiple page documents and uses various identification techniques, such as OCR, ICR, OMR and bar code identification. Data is either extracted automatically or sorted manually using double-button methods. Auto automatic and manual verification is checked to ensure the accuracy of the data. All images and their metadata (image size, dpi, compression, and many other image associated data) are stored directly in the SRP database.
Quality control and image enhancement
A set of clearly defined processes controls every step of the scanning operation, from pick-up to metadata and image transmission. Every action taken on your medical records is tracked in real time in the SRP system. Our document scanners have built-in image quality control features, such as Perfect Pages technology, blank page removal double feed detection, dual stream scanning, intelligent quality control, eye tracing, auto desk, and more. Image enhancement module in our SRP system. Uses dedicated 16-core servers exclusively after image processing and performs a range of complex algorithmic image enhancement tasks. Apart from multiple manual quality checks, our Quality Supervisor is automatically notified by SRP about any quality issues encountered by SRP’s sophisticated quality control algorithms.
